1. Overview

FreeRetrospectives is an online retrospective and shared agile workspace tool. This policy explains what information we collect, how we use it, and how users can contact us about privacy questions.

2. Information We Collect

Account information: When you sign in, we may store your email address, display name, login provider, and account identifiers needed to operate your account.

Session information: We store retrospective boards, action items, planning session codes, room settings, stories, votes, reveal history, folders, custom decks, and related agile workspace activity.

Participant information: Room participants Use single sign-on with Google, GitHub, Jira, or LinkedIn. We use the profile name and email returned by the provider for room identity, ownership, audit, and follow-through.

Anonymous retrospective notes: Anonymous note mode can hide author names in the room view, while internal accountability records remain available for safety, audit, and abuse prevention.

Integration information: If you connect GitHub, Jira, Linear, Azure DevOps, Trello, Notion, Slack, webhooks, API keys, or MCP access, we store the connection metadata and credentials needed to provide those features.

Technical information: We may collect IP address, browser details, request logs, error logs, rate-limit events, and security telemetry to operate and protect the service.

3. Login Providers

FreeRetrospectives uses account login to operate shared workspaces, boards, folders, and integration settings. We request only the identity and email information needed to create or access your FreeRetrospectives account. Connected provider access is used for authentication unless you separately connect an integration.

4. Connected Integrations

Integrations are optional. If you connect an external service, FreeRetrospectives may read issue/card metadata, import stories, post action items or estimates, send notifications, or perform other actions you authorize.

We do not sell integration data. We use connected-service data only to provide the requested retrospective, planning, import, sync, notification, API, or MCP functionality.

You can disconnect integrations from your account. Disconnecting stops future access, subject to provider token revocation behavior and operational log retention.

5. AI-Assisted Features

FreeRetrospectives may provide AI-assisted sprint recaps, retro summaries, action item drafting, story drafting, story analysis, acceptance criteria, and estimation guidance. The relevant story, session, board, or action-item text may be sent to internal or third-party AI providers through our AI routing service. AI results are intended as team workflow assistance and should be reviewed by the user before use.

6. How We Use Information

  • Authenticate users and maintain sessions
  • Create, join, manage, and synchronize retrospective boards, planning rooms, action items, and shared workspaces
  • Provide integrations, imports, exports, API access, MCP access, and webhooks
  • Generate optional AI-assisted sprint recaps and planning output
  • Protect against spam, abuse, fraud, and unauthorized access
  • Debug, monitor, and improve the service

7. Sharing and Third Parties

We share information with service providers only as needed to operate FreeRetrospectives, including hosting, authentication, email delivery, bot protection, connected integrations, analytics, AI processing, and security monitoring. We do not sell personal information.

8. Data Retention

We keep account, workspace, integration, and session data for as long as needed to provide the service, comply with legal obligations, resolve disputes, prevent abuse, and maintain backups. Some temporary rooms or logs may expire sooner.

9. Security

We use reasonable technical and operational safeguards to protect account and integration data. No system is perfectly secure, so users should protect their accounts, keep session links private where appropriate, and disconnect integrations they no longer use.

10. Your Choices

  • You may choose not to connect optional integrations.
  • You may disconnect integrations and revoke provider access from the third-party provider dashboard.
  • You may request account or data deletion by contacting us.
  • You may avoid AI-assisted features if you do not want story/session text processed by AI providers.

11. Children's Privacy

FreeRetrospectives is intended for professional and educational planning use and is not directed to children under 13.

12. Changes to This Policy

We may update this Privacy Policy from time to time. The latest version will be posted on this page with an updated date.
